GENERAL SUMMARY: Provides executive administrative support to the Chief Executive Officer (CEO), Hospital Administration and members of the Board of Directors. The Executive Assistant must be exceedingly well-organized, flexible, proactive, resourceful and efficient with the interest and ability to interact with all levels of the organization representing the executive team.
PRINCIPAL DUTIES AND RESPONSIBILITIES: 1. Performs a variety of duties related to Hospital Administration and the Board of Trustees. Establishes and distributes master meeting schedule for the year. Compiles and distributes agendas; verifies attendance of participants at meetings. Attends meetings and takes, transcribes and distributes minutes. Maintains all Board files, including all Corporate Bylaws and accompanying Compliance documentation. Works closely with members of the Board, the Medical Staff, Legal Counsel, Compliance and the community in responding to requests for information or in obtaining information. 2. Responsible for the maintenance and coordination of the CEO's calendar, meeting schedule and local and domestic travel. Assists with travel and meeting arrangements for visitors when necessary. Ensures the CEO is prepared for meetings and speaking engagements. Acts as contact liaison between Tenet Health and MetroWest Medical Center. 3. Is responsible for screening and referring telephone calls. Handles inquiries or situations of an often highly confidential nature or patient related; refers calls to appropriate department or persons as required. Triages random inquiries that are routed to the executive offices. 4. Performs a variety of miscellaneous duties, such as: reviews all mail, and establishes and maintains files including confidential physician contracts. Ensures appropriate supplies are available. Prepares or assists with coordination of special projects/programs. Gathers data from a variety of sources and prepares appropriate reports and analyses. 5. Open and sort mail, pointing out items of interest; attach appropriate files to the correspondence to be answered by administrators. 6. Provides cross coverage for other staff members for absences, vacations, etc. and during variations in workflow, as needed.

Excellent interpersonal skills and the ability to communicate with all levels of staff across the organization 4. Ability to work well independently or as a member of a team 5. Proven ability to thrive in a busy work environment that requires coordination of multiple activities and the judgment and flexibility to reprioritize to accommodate emergency requests 6. Ability to correspond and communicate with others clearly and effectively in writing (via e-mail, memo or interoffice note) and to take complete and accurate messages 7. Ability to interpret information as appropriate, answer more complex questions in the most professional manner and communicate in a professional, courteous, clear and concise manner 8. Exceptional computer skills including advanced knowledge of Microsoft Office (Word, PowerPoint and Excel), Microsoft Outlook and Windows-based operating systems 9. Ability to maintain confidentiality and privacy, which is consistent with HIPAA guidelines 10. Minimum of three to five years of experience as an Executive Assistant. C-Suite support preferred, but not required.
